About Mobile Easykey GmbH

Mobile Easykey GmbH is a Germany-based fleet management technology company, headquartered in Friedrichsdorf. Their modular system gives intralogistics operations - warehouse and distribution centres running industrial trucks and forklifts - control over access, safety, and fleet performance data, regardless of vehicle manufacturer. The company holds over 25 years of experience in the sector and describes itself as the market leader in Europe, with more than 1,700 customers across 20+ countries. Mobile Easykey GmbH is part of the Domnick+Müller Group.

The Slovakia hire was part of a targeted expansion to build a dedicated sales region in Eastern Europe, led from the field rather than from headquarters.

The challenge

Mobile Easykey GmbH needed to hire an Area Sales Manager for Eastern Europe, to be based in Slovakia. The company had no local legal entity in Slovakia, and the setup required navigating a new employment framework and local regulations.

Two things made the situation more complex than a standard hire. First, the precise location of the candidate was not fixed at the outset - the company was not certain which Eastern European country the right candidate would be based in, which meant they needed an EOR partner with reliable coverage across multiple markets, not just Slovakia. Second, the role carried significant travel and mobility requirements, including a company car - an employment benefit that adds compliance and administrative complexity under most EOR arrangements and that many providers are not equipped to handle.

Melanie Spisla and her team had no prior experience with EOR providers, which meant the entire process - contracts, payroll setup, benefit structuring, local labor law - was new territory. The main focus areas during the process were payroll accuracy and compliance with Slovak labor law.

What was at stake

Hiring across borders without a local entity, the compliance exposure centers on correct employment classification, social security registration, and payroll setup under local law. In Slovakia, employees must be registered with the relevant social insurance authority and income tax obligations must be handled in line with Slovak tax law.

The company car element added a layer of complexity that went beyond standard EOR onboarding. Company cars provided as an employment benefit in Slovakia carry specific tax treatment and benefit-in-kind reporting requirements. Getting this wrong - or failing to deliver it at all - would have created both a compliance gap and a broken commitment to the incoming employee.

Why they chose Rivermate

Mobile Easykey GmbH chose Rivermate primarily because of geographic coverage. At the point of engagement, the company was still finalizing where in Eastern Europe their candidate would be based. They needed an EOR partner who could operate across multiple Eastern European countries, not one optimized for a single market.

The decision to proceed came after a first meeting with Daan de Wildt, Rivermate's Account Executive on the engagement. Melanie Spisla described the outcome of that conversation clearly: Daan de Wildt gave the team a strong sense of confidence and was extremely supportive in understanding what Mobile Easykey GmbH was trying to achieve. For the team, the combination of broad coverage and a direct, responsive relationship with a named contact was the deciding factor.

Cost transparency also mattered. One of Melanie Spisla's stated concerns going in was the fee structure and how foreign labor law costs would be handled. Rivermate's approach of no hidden fees and direct communication addressed that concern.

How Rivermate helped

Daan de Wildt led the engagement from the initial meeting through onboarding. The hire was for an Area Sales Manager for Eastern Europe, to be based in Slovakia.

The most operationally demanding element of the onboarding was the company car. Company cars are a known difficulty within EOR arrangements: they require coordination between the EOR's local partner, the employer, and the employee, and they introduce benefit-in-kind and tax reporting obligations that standard payroll templates don't cover out of the box. Rivermate handled this in partnership with Balanced HR, their local partner in Slovakia. The company car and travel expense setup required extra time and coordination to deliver correctly, but was resolved ahead of the employee's start date.

Throughout the onboarding, Daan de Wildt obtained information from the local team as needed and additional insights such as local salary benchmarks were provided, which supported the recruiting phase.

The day-to-day relationship since onboarding has been characterized by payroll management via a central dashboard with low effort on the company side.

What this means for similar companies

If you're a mid-sized European hardware or industrial technology company making your first cross-border hire in Eastern Europe without a local entity, you're likely facing what Mobile Easykey GmbH faced: unfamiliar labor law in the target country, uncertainty about which country the candidate will be based in until late in the process, and employment benefits like company cars that add complexity your internal HR team hasn't dealt with before.

Rivermate handles this pattern regularly across Eastern Europe, working with established local partners to manage benefit structures that go beyond standard payroll - including company cars and travel expense arrangements. The EOR model means you don't need a local entity or a local HR team to do it compliantly.

Results

  1. Compliant Slovak employment contract in place

The hire was employed under a compliant Slovak employment contract, with the required right-to-work and employment setup handled properly.

  2. Company car and travel expense arrangement delivered

Rivermate supported the company car and travel expense setup as committed, helping Mobile Easykey GmbH deploy the role as originally designed.

  3. Significant administrative effort saved during onboarding

Melanie Spisla noted that her team did not need to draft contracts, set up large volumes of data in internal systems, or take on substantial payroll administration work.

  4. Low-effort ongoing management through the payroll dashboard

The payroll dashboard helped keep the employment setup easy to manage after onboarding.

  5. Single-country hire made simple

What Melanie expected could become disproportionately complex for one person abroad turned out to be neither complicated nor time-consuming.

In Melanie's words

Rivermate is the first EOR provider we have worked with, and it was an area where we had little to no prior experience. Rivermate supported us closely throughout the onboarding process and answered all our questions quickly and professionally. The ongoing collaboration is straightforward, and the payroll process requires minimal effort.
